Exhibitor Terms, Conditions & Privacy Policy

These Policies, Terms & Conditions, and Privacy Policy are publicly accessible on the official website of One Percent Better Seniors.

By registering to exhibit at the 1 Percent Better Senior Expo, all participating organizations—including their employees, contractors, and representatives—agree to comply with the following policies established by One Percent Better Seniors (“Event Host”).


1. Liability & Indemnification

One Percent Better Seniors, including its affiliates, staff, venue partners, sponsors, and vendors, assumes no responsibility for injury, loss, theft, damage, or legal claims arising from exhibitor participation.

Exhibitors agree to indemnify and hold harmless One Percent Better Seniors and its representatives from any claims related to:

  • Booth setup and teardown

  • Display materials

  • Staff conduct

  • Products or services promoted

  • Interactions with attendees

Exhibitors are required to maintain appropriate liability insurance covering participation from setup through teardown.


2. Force Majeure

The Event Host is not liable for disruptions or cancellations caused by circumstances beyond its control, including but not limited to:

  • Acts of God or natural disasters

  • Public health emergencies

  • Government restrictions

  • Venue closures

  • Weather-related disruptions

  • Labor shortages

Reasonable accommodations may be attempted; refunds are not guaranteed.


3. Event Operations

To ensure a professional and safe environment:

  • Booth assignments, event timing, and layouts may change at the discretion of the Event Host.

  • Exhibitors must remain within assigned booth spaces.

  • Solicitation outside designated areas is prohibited.

  • Early teardown is not permitted.

  • Booths must remain staffed during all public event hours.

Non-compliance may result in removal without refund.


4. Registration, Payment & Fees

  • Full payment is required at registration unless an approved invoice arrangement exists.

  • Invoiced balances are due within 10 days or at least 10 days prior to the event, whichever is sooner.

  • A 3.5% processing fee applies to credit card payments.

  • Participation is not confirmed until payment is processed.


5. Cancellation Policy

  • 45+ days prior: 50% refund (50% retained as non-refundable deposit).

  • 44 days or fewer: Non-refundable.

  • Cancellations must be submitted in writing to our contact page

  • Transfers to future events are reviewed case-by-case.


6. Program Listings & Promotional Materials

  • Listings and promotional materials must be submitted at least 10 business days prior to the event.

  • Late submissions may result in exclusion from printed or digital materials.

  • Exhibitors are responsible for compliance with advertising standards.


7. Exhibitor Conduct

The following are prohibited:

  • Disruptive or offensive behavior

  • Unauthorized sales tactics

  • Misrepresentation of services

  • Collection of attendee data without consent

The Event Host reserves the right to revoke participation at its discretion.


8. Privacy Policy & Data Protection

8.1 Public Accessibility

This Privacy Policy and these Terms & Conditions are publicly accessible on the official One Percent Better Seniors website.


8.2 Information We Collect

We may collect:

  • Name

  • Email address

  • Phone number

  • Business information

  • Event registration details

  • Payment information (processed securely via third-party processors)

Payment information is not stored directly by the Event Host.


8.3 How Information Is Used

Information is used for:

  • Event registration confirmations

  • Appointment reminders

  • Operational notifications

  • Program updates

  • Customer support

We do not sell, rent, or trade personal information.


8.4 SMS & Mobile Data Privacy

If a participant provides a mobile phone number and explicitly opts in to receive SMS communications:

  • Messages may include confirmations, reminders, or service-related updates.

  • Message frequency varies based on participation.

  • Standard message and data rates may apply.

  • Recipients may opt out at any time by replying STOP.

SMS consent is not shared with third parties or affiliates for marketing purposes.

Mobile information will not be sold, rented, or shared with third parties for promotional use.

SMS data may only be shared with secure messaging providers strictly for the purpose of delivering SMS communications.


8.5 Email Communications

Participants who provide email addresses may receive:

  • Event confirmations

  • Operational updates

  • Service communications

Marketing emails, if applicable, are sent only to users who have explicitly opted in.

Recipients may unsubscribe at any time via the unsubscribe link included in email communications.


8.6 Data Security

Reasonable administrative, technical, and physical safeguards are implemented to protect personal information.

While we strive to protect user data, no internet transmission can be guaranteed 100% secure.


9. Agreement Acknowledgement

By registering and submitting payment to exhibit at the 1 Percent Better Senior Expo, you affirm that:

  • You have read and agreed to these Terms, Conditions & Privacy Policy.

  • You understand your obligations regarding data handling and consent.

  • You accept responsibility for any information collected from attendees.

  • You understand participation may be revoked for non-compliance.
